There’s a lot to experience at an event, and you don’t want to show up unprepared. This extensive guide has everything you need to level up your LANWAR experience.

SECURING YOUR SEAT

Before you start gaming, you need to register for the event using LANWAR’s custom registration system.

Tailored for gamers for over 25 years, the system provides the gamer flexibility not found at any other event.

Pick a seat, reserve a temporary seat for a friend, move your seat at will, and request a team move to help get all of your friends sitting close together.

1. Create an account

Go to reg.lanwar.com to create an account.

2. Pick your seat

Select an available seat in the hall and its yours!  

3. Pay

Pony up the dough — $60 via credit card or Paypal. Congratulations, you are now registered for the event.

This seat is taken.

Available

This seat is open.
These seats can be used to sign up a seat for yourself, move your exisiting paid seat into, or to be put on temporary hold as a friend reserve for a buddy.

Temporarily Reserved

This seat is temporarily reserved, but the owner hasn’t paid yet.  It will expire if not paid by the deadline and return to a open seat available to everyone.

Friend Reserve

This seat has been temporarily reserved and has been set it aside for a friend. Each friend reserve has its own passcode that can be shared with friends to claim the seat.

Friend Reserves expire if they are not used and will return to an open seat available to everyone. The ability to do friend reserves is only available during the first part of registration.

Team Seating

These seats are set aside for team moves. Gamers who have paid seats, but who are not currently sitting together can request a team move.

The staff will then process the team move and move all of the gamers into the gray section thus freeing up their old seats on the floor.

Full refunds are available up to 2 months before the event. Partial refunds are available up to 1 month before the event. No refunds are available 1 month before the event. Email [email protected] to request refund.

Minors are absolutely welcome but must have a Minor Consent Form signed by a parent or legal guardian. Additionally, a responsible adult must be present with them at all times.

The best seats can sell out fast, so get your seat early.

Seats at the end of a row are not guaranteed. We may add seats to the hall.

BRINGING FRIENDS

Inviting Friends

LANWAR is always better with friends! Whether you’re bringing your long-time gaming crew or introducing someone new to the LAN experience, we’ve made it easy to invite, organize, and sit together.

Ways to Invite Your Friends:

  • Share the Event Link – Send them the official event page so they can check out all the details and register.
  • Use Social Media – Tag your friends in our event posts, create a group chat, or start a Discord thread.
  • Email or Messaging Apps – A quick message with the event details can go a long way.
  • Plan a Group & Register Early – Coordinate with your friends ahead of time to pick seats and get your team together in one spot.
Saving them a seat

Want to make sure your friend can sit next to you? We have you covered.  Here’s how it works:

  1. Pick Your Seat & Pay – Choose your own seat and complete your registration.
  2. Reserve a Friend’s Seat – Select additional open seats and enter your friend’s email.
  3. They Get an Invite – We’ll send them an email with a unique code to claim the seat.
  4. They Register & Pay – Your friend signs up, enters the code, and the seat is theirs!


Friend reservations expire after a set time. If they don’t claim their seat before the deadline, it will be released back into the open pool. Make sure your friend registers in time!

Team Seating

The gray seats in the hall are designated for Team Seating. Once all members of your group have selected and paid for a seat, you can submit a Team Move request to have your group relocated to the gray seating area so you can sit together. We do our best to accommodate these requests, but here’s what you need to know:

How It Works

  • Team move requests are processed in the order they are received.
  • Each player will receive an email notification when their seat is requested for a move.
  • Only teams that are currently not seated together will be moved.
  • All members must be paid and registered—no exceptions.
  • A minimum of two players is required to request a team move.

Important Guidelines

  • You can request a specific location in the gray seating area, but placement is not guaranteed.
  • To accommodate as many groups as possible, your team may be moved again within the team seating area, but you will always be kept together.
  • We will not move another player who is not in your group just to open a seat for your friend—you wouldn’t want your seat moved without your consent either.
  • We do not reserve large blocks of seats in advance. Your group must sign up, pay, and then request the move.
  • If you submit a request for part of your group and later add more members, we cannot guarantee seats will still be available for the late additions.

Be Patient, Be Cool

  • Moving teams is a manual process and may take several days.
  • A real person is working to accommodate you—don’t be that guy.
  • Once gray seating is full, no further team moves will be possible.


Team Seating is limited. Don’t want until a couple weeks before the event to request.

PLANNING YOUR TRIP

Venue

LANWAR takes place in the Herman & Heddy Kurz wing of the University of Louisville Student Activities Center (SAC), located at 2100 S Floyd St, Louisville, KY 40208. The SAC is a large student and convention center spanning both sides of the railroad tracks. For precise arrival and unloading, use these coordinates: 38.21691116112582, -85.7560908738633.

Airport

The closest airport to LANWAR is Louisville International Airport (SDF), located just 4 miles from the venue. With a short drive or ride-share, you’ll be at the event in no time. SDF is a mid-sized airport offering a variety of domestic flights and convenient ground transportation options, including rental cars, taxis, and ride-sharing services. If you’re flying in, be sure to plan your transportation from the airport to the venue in advance for a smooth arrival.

Parking

Since LANWAR is held on university property, parking rules can vary depending on whether school is in session and what other events are happening on campus. Available options may include a parking garage, multiple lots, and even a distant lot with a free shuttle service. Because parking details change from event to event, be sure to check back a couple weeks before the event. Once posted, an announcement will go out to multiple social media channels.

Sleeping at the venue

If you’re planning to sleep on-site during LANWAR, we provide a dedicated sleeping room to ensure you get some rest between gaming sessions. Sleeping is only allowed in the designated sleeping room—not in the main BYOC hall, hallways, or lobbies.

Space is first come, first serve, with room for either a twin-sized mattress per person or a queen-sized mattress for two people. Like the main hall, the sleeping room is monitored by security cameras for safety. The temperature is kept at a cool 68 degrees, the lighting is dim, and talking is restricted to ensure a comfortable sleeping environment. Availability can fill up quickly, so plan ahead if you intend to crash at the venue.


If you’re a light sleeper, bring earplugs—you never know when you’ll end up next to someone who snores! 


There are no showers on-site, so plan accordingly—because let’s be honest, some of your fellow gamers could use a little extra help in the hygiene department. Do everyone a favor and shower ahead of time & come prepared with fresh clothes for each day, deodorant, etc.

On-site Concessions

We’ve got you covered with snacks and drinks available for purchase at the event. From chips and candy to sodas, energy drinks, and BAWLS, you won’t have to go far for a quick refuel. Need something more substantial? We also bring in food for lunch, dinner, and evening pizza runs so you can keep gaming without skipping a meal.

Food Court

Located on the first floor of the venue, the university food court provides additional meal options. Whether you’re in the mood for fast food or something a bit more filling, you’ll find a variety of choices just a short walk from your setup. Keep in mind that some locations may have limited hours, so plan accordingly.


Alcohol and Coolers are prohibited.

If you want to venture out, there are plenty of restaurants within a few miles of the event, ranging from fast food to sit-down dining. Whether you’re craving burgers, pasta, or something international, you won’t have trouble finding a place to grab a meal. Just be sure to plan your time wisely so you don’t miss out on any of the action back at the event.

Pro Tips

There are a lot of bluetooth devices in the hall. Sometimes the frequencies can overlap causing issues.  Bring the wired cable for your headphones and/or bring wired backups for anything wireless.

Remember - we are not responsible for your stuff.  

You get one power plug at the event, so you must bring a power strip to plug in your PC and Monitors.  You are also responsible for your own surge protection.

We’ve got six sensors monitoring the hall temperature (Yes, we're that geeky). The hall is set at 68°F, but things don’t always go as planned—facilities can have issues. Be smart and pack for both warm and cool weather.

We encourage gamers to bring their own projectors to show off  games or other cool stuff on the walls! Just make sure your seat is close enough for a clear display, let us know before the event in Discord so we can run extra power, and remember—keep it all appropriate for minors

We have to compete with university wireless saturation, so don't count on the LANWAR wireless for gaming.

Prohibited Items

To keep LANWAR fun, safe, and welcoming for everyone, certain items aren’t allowed. Whether it’s for safety, security, or just making sure everyone has a great time, please check the list below. If you're unsure about something, feel free to ask before bringing it.

  1. No alcohol or drugs - Our venue is a dry campus.  Be smart, be safe.
  2. No smoking or vaping on campus - The campus is also a no-smoking campus. Enforcement of the no smoking policy outside is enforced by the university, not LANWAR.
  3. No torrenting or bandwidth abuse – Using torrents or other high-bandwidth applications that degrade network performance is strictly prohibited.
  4. Tents & large structures – No tents, pop-up canopies, or anything that obstructs walkways or visibility.
  5. Additional powered electrical devicesThe events power management is planned in advance and strickly enforced. There is enough power for your computer, monitors, and a few USB powered devices. But it IS NOT enough for extra equipment. For example: No powered speakers, external fans, air conditioners, heaters, televisions, microwaves, refrigerators, lava lamps, shop vacs, or tanning beds, etc. If we find them, we will confisicate them. 
  6. Network equipment – No personal routers, hubs, switches, or Wi-Fi extenders (they interfere with our setup).
  7. External speakers – Keep the noise levels down—headsets only!
  8. Extremely oversized monitors & setups – Each attendee gets 3 feet of table space—be considerate of your neighbors. Keep your setup reasonable and don’t be that guy.  If you need extra space for a larger setup, many gamers choose to purchase a second seat to spread out comfortably.
  9. Uninterruptible Power Supplies (UPSs) – These can overload circuits and cause power issues.
  10. Inappropriate Content – No explicit, adult, or offensive clothing or material (LANWAR is a minor-friendly event).
  11. Open flames & hazardous materials – No candles, lighters, fireworks, or anything flammable.
  12. Weapons & replica weapons – This includes airsoft guns, prop firearms, and anything that could be mistaken for a real weapon.
  13. Drones or blimps – No flying inside the venue without prior permission.
  14. Anything else that is disruptive to fellow gamers.


  When in doubt, ask staff in Discord before the event.

Very Important!

Update all of your games before the event. While LANWAR has a big fat pipe to the internet and a steam cache, your gaming experience will go much smoother if you take a few minutes and download all of the updates needed for your games before the event.

NETWORK & POWER

Built for Speed

LANWAR’s network is designed to deliver the best possible gaming experience with ultra-fast speeds and low latency.

The backbone of the network is powered by a Dell S5148F-ON switch with 48 25G ports, supplemented by a 48-port Cisco switch, ensuring that every player has a dedicated 1G connection at their seat. Each row is allocated 4Gb of bandwidth, while the network core is optimized for low-latency gameplay, with most in-game pings averaging between 5-10ms.

To reduce game installation and update times, LANWAR runs a local LAN cache with 12TB of high-speed SSDs, connected via 2x10G fiber uplinks. This cache stores popular titles from Steam, Battle.net, Riot, Epic, and others, allowing participants to install and update their games at full 1G speeds without stressing the external Internet connection.

Speaking of Internet—yes, we have it! The event is powered by two 1Gb connections, with one dedicated to gaming traffic and the other reserved for the LAN/Steam cache to ensure optimal performance for everyone.

Reliable Power

LANWAR is powered by road-show level power infrastructure, designed to support hundreds of high-performance gaming setups simultaneously. We have been running up to six gaming PCs per 20-amp circuit reliably for years, ensuring stable and sufficient power for all attendees. Our electrical setup is designed to handle standard gaming rigs without issue, but if you have an exceptionally power-hungry system, please contact the staff on Discord before the event so we can plan accordingly.

Each attendee is provided with one power receptacle at their table. You will need to bring your own power strip to distribute power to your PC, monitors, and peripherals. No daisy-chaining power strips is allowed, you will pop a circuit, and everyone affected will know you did it. 😉

To maintain stability across the venue, we do not allow additional powered devices to be plugged into the event’s power grid. This means no external speakers, Uninterruptible Power Supplies (UPSs), or other high-draw devices—refer to the banned items list for full details. Our goal is to provide reliable, consistent power to every attendee, so please adhere to these guidelines to help ensure a smooth experience for everyone.

Survival Rating

Can I bring my own network equipment?

No. Thou shalt not bring hubs, switches, routers, repeaters, gender changers, or other equipment into the network. Every seat comes with a dedicated network port, and all required networking infrastructure is already in place. The only hardware you need is a RJ45 Category 5/5e/6 Ethernet cable and a properly functioning network interface card (NIC).

How long of an Ethernet cable do I need?

To avoid connectivity issues, bring the longest cable you have—preferably at least 25 feet. If your cable is too short, we have a limited number of extra cables available, but please do not rely on these.

Is wifi available?

Yes, but we are competing with the university’s dense wifi signal.  The wifi is added as a service, but don’t rely on it for gaming.

Can I also bring a server?

If you plan to bring a additional server system, it must be placed in Server Row, where dedicated 1Gb switched ports are available. Upon arrival, please contact a staff member to determine the best location for your setup.

How should I configure my PC to connect to the network?

LANWAR uses DHCP to automatically distribute network settings. To ensure seamless connectivity, configure your computer’s TCP/IP settings to “Obtain an IP address automatically” (Windows) or “Use DHCP” (MacOS). If you’re unsure about these settings, ask in the LANWAR Discord before the event, or seek help from a staff member when you arrive.

SECURITY

24x7 Monitoring

LANWAR runs 24/7, with gamers and staff always present. The entire venue is under constant surveillance with multiple security cameras recording activity throughout the event. Additionally, campus police patrol the area at random times to enhance safety. While these measures provide an extra layer of security, your personal equipment remains your responsibility.

Personal Responsibility

We are not responsible for your stuff!  Each attendee is responsible for both the security of own equipment and any accidental damage they may cause to another gamer’s setup. If a gamer accidentally damages someone else’s hardware, it is up to the involved individuals to resolve the matter. LANWAR staff cannot mediate disputes or take responsibility for personal equipment damage or theft. Please be mindful and respectful of other attendees’ setups.

Safety & Security Tips
  • Take small valuables (wallets, phones, etc.) with you when stepping away.
  • Label your gear with your name or an identifying mark.
  • Report any suspicious activity to LANWAR staff immediately.
  • We want everyone to have a great time and get home safely. Make sure you get some sleep during the event—driving home without rest is extremely dangerous. Take care of yourself and your friends.
  • Oh… and don’t try to survive on Bawls alone.  That’s a trip to EMS.  (True Story)
Lost & Found

If you misplace an item during the event, check with LANWAR staff at the front desk or post in Discord. Found items will be held at concessions. If you find something that doesn’t belong to you, please turn it in so we can return it to its rightful owner.

HALL SETUP

Setting up the hall

Before the  party kicks off, LANWAR nation comes together to set up the hall. This isn’t just about tables, power, and network cables—it’s a tradition. A dedicated group of volunteers, staff, and early attendees join forces to transform an empty hall into a fully equipped gaming battleground.

Setup takes a few hours, but the time flies by. Gamers meet, reconnect, and share stories while laying out tables, running power cords, and making sure the network is rock-solid. It’s a hands-on way to be part of the event from the ground up—literally. Whether you’re setting up tables, organizing concessions, or helping get the sleeping and streaming areas ready, there’s always something to do.

Laughter, teamwork, and the shared excitement of getting everything ready make setup one of the best ways to bond before the action even begins. If you’ve never joined setup before, consider helping out—it’s a great way to become part of the LANWAR nation setup crew.

ARRIVING

The moment has finally arrived—you’ve made it to LANWAR! It’s time to get ready for an unforgettable weekend of gaming! But before you power up your rig, there are a few quick steps to follow to make sure everyone has a smooth arrival experience.

The unloading zone can get busy fast, so we need to keep things moving efficiently. Grabbing a cart, unloading quickly, and clearing the area helps make space for the next wave of gamers. Once your gear is inside, you’ll check in, claim your spot, and get set up—but not before making sure your car is parked properly.

If one isn’t available, head up to the main hall to get one.

3. Move Your Car

If you have someone with you, have them move the car immediately.  Otherwise, unload your gear in the hall and then move your car.  Warning: If you don’t move your car, UofL may tow it!

4. Registration & Unload

Pick up your badge at registration and unload your gear at your assigned spot.  If you haven’t moved your car, please do so now.  Once your car is moved and the cart returned, you can setup your rig and start gaming!

MAXIMIZE YOUR XP

Discord

Once the event starts, there is a section in the LANWAR Discord dedicated to everyone at the event. It includes a variety of channels to help you make the most of your LANWAR experience—find teammates, chat about games, and get real-time updates.

Play Any Game You Want

While LANWAR hosts tournaments and Game of the Hour (GOTH), you are free to play any game you want. Walk through the event and you’ll see dozens of different games being played at any given time—join in or start your own session!  (Just keep it appropriate for a shared gaming space.)

Streaming

LANWAR brings the excitement straight to your screen with live streams of multiple tournaments throughout the event. We focus on some of the most popular and high-stakes matches, complete with live commentary from casters who break down the plays, strategies, and clutch moments. Play well, and you might just find your match featured on the stream, giving you a chance to showcase your skills!

Game Of the Hour (GOTH)

LANWAR staff selects specific games throughout the event to bring players together for a shared experience. Participation is optional, but it’s a great way to meet new people and enjoy a focused gaming session. Check the schedule for the current GOTH, and connect with others in the at-event Discord channel.

Breakout Sessions

LANWAR hosts various breakout sessions where you can listen, participate in discussions, or get hands-on experience with a wide range of gaming and tech topics. Whether it’s esports strategy, PC building tips, or game development insights, there’s something for everyone.  Just go to the designated area at the appointed time and you are good.  No need to sign-up.

Tabletop Games

LANWAR isn’t just about video games! Players gather in the tabletop section to enjoy board games and card games. Bring your own games or join an open table. You can invite people in person or through Discord, both before and during the event.

Forget Something?

Forgot your charger? Left your mouse at home? Somehow misplaced your entire keyboard? It happens. If you’re missing some essential gear, we might have a spare lying around! Just ask a staff member, and we’ll do our best to keep your setup from turning into a very expensive paperweight.

TOURNEYS

Purpose

LANWAR tournaments are designed to be fun, competitive, and engaging for all participants. While there are prizes to be won, the primary goal is to create an enjoyable experience for both attendees and staff. Winning could mean a high-end video card, a simple soda, or nothing at all. If you’re here solely for the prizes, you may be missing the true spirit of our events.

Sign-up & Check-In
  • To participate in a tournament, you must first register for the LANWAR event and sign up for the specific tournament before the event begins.

  • If you forget to sign up early, some tournaments allow sign-ups during the event, but waiting until the last minute may result in missing out.

  • Most tournaments require a check-in one hour before they start. Make sure to check in on time to secure your spot.

  • To register, visit the event’s page, find the tournament of interest, and follow the link to toornament.com where you can review the rules and complete your sign-up.

Logistics
  • You may sign up for multiple tournaments, but be aware that some may overlap. If you’re double-booked, you may need to drop from one to keep both running smoothly.
  • Check-in and Start Time: Be punctual for check-in and tournament start times.
  • If you have a substitution or roster change, be sure to check each tournaments rules to clarify policies regarding the use of substitute players, including when and how they can be utilized during the tournament.
  • Tournament Prizes are donated by sponsors and distributed according to their guidelines. Some tournaments have specific prize pools, while others distribute prizes randomly among attendees. Tournament prizes vary each event and may include high-value items, small rewards, or nothing at all except the sweet glory of total domination.
  • Projector volume will remain at a medium level or higher. If you are concerned about noise affecting your play, bring high-quality closed-ear noise-canceling headphones. Volume adjustments will not be made. LANWAR is a party, not a professional tournament organization.
Staying Updated
  • Stay informed about tournament schedules, rule changes, and updates through LANWAR’s Discord announcements channel and other social media platforms.

  • Tournament selections are based on popularity with the LANWAR Nation. While we aim to include a variety of games, we cannot accommodate every requested game.

Survival Rating

Rules & Conduct
  • Players must be polite and respectful to other participants, spectators, staff, sponsors, and press.

  • Inappropriate behavior will result in warnings, disqualification, or permanent banning from future LANWAR events.

    • First offense: A warning

    • Second offense: Disqualification from the tournament

    • Third offense: Removal from the event and a permanent ban without refund

  • Cheating or attempting to cheat will result in immediate disqualification.
  • If you have an issue during a tournament, calmly and professionally bring it to the Tourney Director’s attention immediately. The director’s ruling is final.

  • Players must be available for post-tournament award ceremonies, photographs, and interviews.

How To Get Disqualified

Engaging in any of the following will result in removal from the tournament and possibly banning from LANWAR events:

  • Supplying false information about yourself.

Hosting A Tournament

Want to run your own tournament at LANWAR? You can! Here’s what you need to do:

  • Make a formal request to LANWAR staff to host the tournament via Discord well before the event to discuss details. At a minimum, we need to coordinate your tournament so that it integrates smoothly into the overall event schedule without conflicting with other tournaments
  • Be prepared to take on the responsibility of organizing and managing the tournament.
  • Establish and document clear rules for the competition.
  • Set up tournament sign-ups on Toornament.com.
  • Be ready to speak publicly, manage sign-ups, and ensure a smooth experience for participants.
  • Successful tournament organizers need to have a level-headed personality and prioritize everyone’s fun, not just their own.


While LANWAR may opt to stream all or part of a tournament, feel free to do your own streaming.

TEARDOWN & GOODBYES

Teardown

Just as it takes a team effort to set up LANWAR, it also takes dedicated volunteers to tear down the hall once the event ends. After the final games are played and the last match is won, we ask for help breaking down tables, packing up network equipment, and cleaning up the space. The more hands we have, the faster it goes!

As a thank you to the loyal LANWAR Nation who stay to help, we hold a special raffle with sponsor prizes exclusively for teardown volunteers. If you want to give back to the event and score a chance at some cool gear, stick around after the event wraps up and lend a hand!
